Sales Automation

Your sales team is losing deals every day because no one is following up.

Sales automation refers to the fully automated handling of recurring sales processes: follow-up sequences, quote generation, CRM maintenance, and pipeline reporting all run without manual input. OptimusFlow Consulting implements such systems in 3–4 weeks on EU-hosted infrastructure—from the first lead to payment receipt. A verified result: EECS Green GmbH now creates bilingual quotes in 15 minutes instead of half a workday.

The problem

Manual sales processes cost you more than you think.

10 hours of manual follow-ups per week represent an opportunity cost of around €26,000 per year. That’s not an expense—it’s time your team needs for actual sales calls. Kundenchaos costs more than it seems.

Sample Calculation
10 hrs×€50/hour×52 weeks=€26,000 per year

€50/hour represents the value of productive sales time, not the person's hourly wage.

This isn't a question of tools. It's a question of capacity.

Does this sound familiar to you?

Follow-ups fall by the wayside.

Because no one has time to follow up with every lead manually after three days. The prospect will end up buying from the competition.

Activities last half a day.

Searching for products in various documents, checking prices, calculating costs manually—all over again for every customer.

Your CRM is out of date or empty.

Meeting notes in my head, forgotten status updates, no overview of the pipeline.

You don't know where deals fall through.

No systematic reporting. Gut feelings instead of data. Optimization is impossible.

Our Systems

What We Automate in Sales

No one-size-fits-all approach. We start by analyzing where you’re losing the most time—and then we focus our efforts there. By the way, our own sales follow-ups run on the exact same system we’ll build for you.

Lead-follow-up sequences

Triggered automatically after initial contact, when a quote is opened, or within a specific time frame. No potential customer will slip through the cracks anymore.

When not: Below ~20 leads/month automation rarely pays off yet — but it builds scalability for growth from day one.

Quotation Preparation

From a central product catalog in minutes. Prices, quotes, and descriptions generated automatically—ready to send.

When not: It's only worth it if you have at least 5+ offers per month with recurring positions.

CRM Data Maintenance

Meeting notes, status updates, and next steps are automatically recorded. Your CRM is always up to date.

When not: If you don't have a CRM and don't want one, we'll start somewhere else.

Pipeline Reporting

Real-time overview: Where are the deals at each stage, where are the bottlenecks, and who needs a follow-up. No manual analysis required.

Lead Qualification

Incoming inquiries are automatically evaluated and prioritized based on specific criteria. Your team can focus on the right leads.

When not: If you don't have clear qualification criteria yet, we'll develop them first.

Billing & Follow-up

Unpaid invoices are automatically detected, and payment reminders are triggered—based on rules, without causing any complaints.

Real-world results

The Benefits of Sales Automation for Real-World Businesses

Three real-world projects—different industries, same result: less manual work, no lost deals.

Behind the Scenes — EECS Green

Three years of project experience, 50 Word, Excel, and PDF documents, and most of the pricing knowledge stored solely in the CEO’s head—that was the starting point. We set up an AI extraction pipeline that converted these fragmented sources, item by item, into a structured, bilingual product catalog. Margin logic, language templates, and pricing formulas are now no longer just in the CEO’s head—they are accessible, verifiable, and expandable.

“For every new quote, we used to painstakingly piece together three years’ worth of project data from old documents. Now it’s available at the click of a button. The first time I saw it in action, it hit me: we’ve been working this way for far too long.”— Kouros Adib, CEO, EECS Green GmbH (Vienna, Project 2025)

FAQ

Frequently Asked Questions About Sales Automation

What exactly is sales automation?

Sales automation refers to the automated handling of recurring sales processes: follow-up emails after initial contact, generating quotes from a central product catalog, updating CRM data after customer meetings, and pipeline reporting without manual entry. The goal isn’t to replace the sales team, but to eliminate manual overhead—so your team has more time for actual sales conversations. Learn more in the glossary →

Which sales processes can be automated the fastest?

The three with the highest "ROI": (1) Lead follow-up sequences — automatically triggered when a lead hasn't opened a quote. (2) Quote generation — from a central product catalog in minutes instead of hours. EECS Green now generates bilingual quotes in 15 minutes instead of half a workday. (3) CRM data maintenance — meeting notes, status updates, and next steps are automatically recorded.

Do we need a CRM for sales automation?

Not necessarily. Many customers start with Outlook, Excel, and a simple Airtable board. We integrate these tools into a functional workflow—and implement a CRM alongside them if it makes sense. No big bang, no vendor lock-in.

How long will the implementation take?

The first automation goes live in 3–4 weeks. Full implementation takes 6–8 weeks. That’s the realistic timeframe—not a quick-fix solution that takes just two days, but also not a months-long strategy project. Your time commitment during the implementation phase: 1–2 hours per week.

How much does sales automation cost?

The project price depends on the scope—we’ll clarify that during our discovery call. Two benchmarks that make an investment structurally worthwhile: 10 hours of manual follow-ups per week correspond to opportunity costs of around €26,000 per year—this isn’t the person’s hourly rate, but the value of productive sales time that gets bogged down in routine (calculation example: 10h × €50/h × 52 weeks). Second: A junior staff member in the office costs €45k+ per year gross, plus payroll taxes, vacation pay, sick leave, and onboarding—without structurally solving the routine work problem. If you need an implementation plan first: Strategic Roadmap €2,000 — €1,500 will be credited toward an implementation within 60 days.

Is sales automation GDPR-compliant?

Yes — provided the provider operates on EU servers. OptimusFlow Consulting uses exclusively EU-hosted infrastructure. No data is transferred to third-party providers outside the EU. Contact information and customer communications never leave the European infrastructure.

How does OptimusFlow Consulting relate to my existing CRM (Pipedrive, HubSpot, Salesforce)?

We are not a CRM or a CRM replacement—we integrate with your existing CRM. Whether it’s HubSpot, Pipedrive, Salesforce, Airtable, or a simpler setup, we build the underlying logic (lead classification, pipeline routing, follow-up sequences) and configure workflows based on your processes, tools, and team structure. We don’t recommend that anyone switch their existing CRM just for automation—we use Pipedrive ourselves and also work with clients who use HubSpot.

Who shouldn't use sales automation?

Below ~20 qualified leads per month, automation rarely pays off yet — the manual process is faster. It does, however, build scalability from day one if you’re aiming for growth. If you’re just building your first sales team or changing your product portfolio, now is not the right time—process first, tool second. And if you need an enterprise system with 50+ sales users and 3-year SLA guarantees, I recommend larger providers. In these cases, I’m upfront about it—right from the discovery call.

Your sales team should be closing deals.
Not data entry.

In 30 minutes, we’ll work together to identify where your sales team is wasting the most time—and exactly what can be automated. No sales pitch. No hard sell. If it’s not a good fit, I’ll tell you straight up.
